FIG.00 the front office, where patient records stay put

Private when it matters

The admin win — without your patients’ data leaving the practice.

Front-office work is full of protected health information, and most “HIPAA-compliant” AI tools are cloud services that still send PHI to a third party. You don’t have to make that trade: we can run the model inside your practice, so you get the time savings while PHI stays put — and our focus is administrative, not clinical. Where work isn’t sensitive, the cloud is often fine, and we’ll tell you which is which.

Where it helps

The front-office work AI can take off your team.

Concrete places AI gives your team time back — set up to fit how you already work.

Intake form processing

Turn paper and PDF intake forms into structured records — without uploading PHI anywhere.

Insurance verification drafting

Prepare verification requests and summarize responses so staff spend less time on hold.

Scheduling & recall

Draft reminders, recalls, and rescheduling messages from your own templates.

Billing & claim prep

Turn visit notes into clean billing narratives and flag likely claim issues before submission.

Records summarization

Summarize history and prior visits for faster, more prepared appointments.

Patient communication

Draft clear, on-brand patient messages a human reviews before sending.

What stays, what leaves

Patient intake & billing record — and where it goes.

Patient intake & billing record

  • Patient name & date of birth
  • Insurance & policy IDs
  • Visit / procedure codes
  • Billing & payment data
  • Contact & history notes

Representative sensitive fields

Every field is transmitted out and processed on someone else's servers.

How your data is handled

Privacy by architecture, not by promise.

We document exactly where your data lives and how it flows. For an on-prem deployment, the answer to “what leaves?” is simple — and you can show it to a client, a partner, or an auditor.

Straight answers

What we get asked first.

Isn’t a BAA with a cloud AI vendor enough for HIPAA?

A business associate agreement is a contract, but the PHI still leaves your practice and sits on a third party’s systems. On-prem AI keeps PHI on hardware you control, removing the third party — generally the most defensible posture, and an easier story to tell a patient or an auditor.

Can the AI train on our patient data?

No. On a local deployment there’s no outside provider to retain or train on your data; the model answers your prompts and nothing else. You own the model and the infrastructure.

Is this for clinical decisions?

No. We focus on administrative and front-office work — intake, scheduling, billing, records summarization, and patient communication. Clinical judgment stays with your clinicians.

Do we have to send anything to the cloud?

No. The deployment runs on hardware in your office and works offline. Low-sensitivity tasks can run in the cloud if you want, but PHI stays in the building.

Is this affordable for a small practice?

Yes. We scope to the size of the practice, and a local model has no per-seat or per-token usage bill, so the economics tend to favor practices that use AI across the front office.
